The Fine Print
Rental equipment is available for checkout to university and community members alike. A rental agreement and liability waiver are required for every rental. You must present proper forms of ID during the checkout process. Southern students must present a student ID. For Outdoor Leadership students, class enrollment will be verified. Community members must present current government-issued ID.
All rentals will require the renter to sign and date their rental contract, verifying they have read, understand, and agree to the equipment risk and liability statement.
The Outdoor Leadership rental program reserves the right to refuse service to anyone for any reason.
How It Works
Check Out Gear at the Hulsey Front Desk
Because Outdoor Leadership is in the Physical Education, Health and Wellness Department we are able to offer gear rental at the Hulsey front desk with no reservations needed. However, the gear available is limited in quantities and selection, we have: Sleeping bags $5 and pads $2, pocket rocket stoves $5, backpacks $10, hammocks $6, and tents $10. We do require a deposit and recommend you inspect your gear (setting up tents, checking the zipper on sleeping bags) before leaving the Wellness center.
If you require gear that is not in the above paragraph, and/or two or more of the items above, you will need to make a reservation AT LEAST one WEEK BEFORE YOUR TRIP. This rental is also subject to a minimum rental of $25. If your rental does not add up to at least $25 you will need to pay the difference.
Gear checkout hours: MON-THURS 10 a.m. - 5 p.m. FRI 9 a.m. - 1 p.m.
Reservations can be made up to two weeks in advance. If renting equipment for a group, please be aware that the individual renting the equipment is ultimately responsible for all equipment and any resulting late, lost, repair, or cleaning fees.
In the event that all equipment has been reserved for a certain period of time, anyone who requests to rent equipment will be put on a waiting list in case there are cancellations.
Payment must be paid in full before checking out gear, including the cleaning deposit
We currently only accept cash or check. Returned checks will be assessed a $50 fee. Checks can be made out to Southern Adventist University.
Cancellations can be made in person or email and must be made THREE working days prior to the day of pickup. No credit or refund will be given for items rented but not used or those returned early.
All gear must be returned in good condition and clean. Hanging items by the Outdoor Education Center and then leaving or anything of the kind is NOT ACCEPTABLE. If unattended items are stolen the customer will be charged the full replacement fee. All pieces of equipment must be checked back in with Outdoor Leadership staff. Anyone leaving equipment unattended will lose all future rental privileges.
Please treat the equipment with care so others may fully enjoy it. Renters who return dirty gear will be charged a cleaning fee. For equipment that is damaged, lost, or stolen, a replacement cost will be assessed and charged to the renter.
Gear under $20 not returned at the set day will be assessed a $5 late fee per additional day for the first offense, $10 per day for the second offense, and after the third offense the offending person may not rent gear for one full year. This fee may be paid by cash or check. This fee only applies to gear rentals under $20.
If your rental is $20 or more and you have a set day and time for return, you will be charged $25 for the first 20 minutes that you are past the appointed time and $1 PER MINUTE THEREAFTER. To avoid this charge you must contact the gear manager 36 hours in advance to set up a new time.
There is a $10 cleaning deposit for each item rented ($2 for each additional item) to be paid upfront. The cleaning deposit will be refunded when gear is returned clean, in good working order, and on time.
Equipment will be inspected for damages and cleanliness upon return by Southern Adventist University Outdoor Leadership staff. Please allow 10-20 minutes for items to be inspected. We understand that gear gets wet and dirty, but in order to refund the cleaning deposit all gear must be returned clean and dry.
Damages, Theft, or Loss
Before leaving the Outdoor Education Center, please inspect equipment thoroughly; if necessary, ask for assistance. Report any existing damage to staff members so you will not be held responsible. Renter is responsible for paying for all repair work needed, including shipping and handling fees. Staff will assess fees for minor repair work. The current retail price will be charged for equipment lost or stolen.
The Outdoor Leadership program does not offer equipment insurance.
Large orders (three or more of one item) or water gear/caving/climbing gear rental by appointment ONLY. Rental must be scheduled at least one week in advance. firstname.lastname@example.org
