White Tent Usage Request
Where is the location of the tent?
Taylor Circle East between the Hulsey Wellness Center and Village Market.
Who can book the tent?
Times bookings will be available depends on which entity is booking the tent. Below are the booking windows for each of the entities listed above.
There will need to be a 1-hour space between bookings. This will allow for adequate time to sanitize between events. Each booking leader will need to factor in setup/cleanup time into their request.

- Southern Student Association: Monday - Thursday 6pm - 10pm
- Collegedale Academy: Friday 8am - 12pm
- Collegedale Adventist Church Ministries: Sabbath 7am - 5pm
- SuCasa Spanish-American Church: Sabbath 7am - 5pm

- Must read: Please ensure that you have read ALL the COVID-19 Southern Adventist University Big Tent Policy. As the booking leader, it is YOUR responsibility to ensure that the policy is being followed. Please see policy below.
COVID-19 Vesper's Tent Policy
- At least 6 feet of physical distance should be maintained when possible between individuals on campus, both inside and outside of buildings, even when wearing a mask.
- There should be no singing at events or programs at this time. If an exception is granted, it would require that each singer wears a mask and remains at least 10 feet from those around them. Anyone singing from the front without a mask would need to be distanced from other singers and the audience at a minimum of 15 feet.
- There should be no congregational/audience singing at events or programs or music that encourages congregational/ audience singing at this time. If special music number is performed, it would require that each singer wears a mask and remain at least 10 feet from those around them. Anyone singing from the front without a mask would need to be distanced from other singers and the audience at a minimum of 15 feet.
- Students, employees, and visitors to campus must wear a mask in all public spaces, classrooms, and rooms where multiple people work and wherever in-person interactions occur, including when less than six feet from others outdoors. Wearing a face mask helps stop the spread of this virus and helps the university remain operational. The university will provide students and employees with two reusable, cloth face masks. Employees are encouraged to obtain additional cloth masks to make daily washing easier.
- Any student or employee who believes they require medical accommodation regarding the mask policy should contact Disability Service (for students) and Human Resources (for employees) and should not come to campus without wearing a mask. For the safety of others, there will be no accommodations that excludes a person from wearing a face mask on campus.
- If an individual has tested positive for COVID-19 and has been medically cleared or tested positive for the COVID-19 antibodies, he or she is still required to wear a face mask.
- If exercising, masks are required when not able to maintain at least 10 feet physical distance from others.
- Members of the Southern community who are outdoors must carry a mask with them at all times in case they encounter a situation in which they cannot physically distance.
- Appropriate face masks should:

- be fabric (washed daily) or a surgical mask (use a new, unaltered mask daily) or a ClearMaskTM (use a new, unaltered mask daily and only use in the classroom).
- fit comfortably tight on your face
- cover both your nose and mouth
- not have an exhalation valve or vent
- be in good taste and should not contradict the university's values
- be clean and presentable
- not be shared from one individual to another

- Individuals are encouraged to avoid touching face masks while wearing them to minimize the risk of contamination.
- Face masks should be worn even if standing in front of or behind a Plexiglas barrier. This is to help minimize risks associated with variable having to do with particle travel and movement by either party outside of the barrier.
- This policy applies to anyone on campus ages 10 and up.
The University Health Center staff will work alongside the Hamilton County Health
Department to conduct contact tracing. While the health department carries out contact
tracing for every known case of COVID-19 in the area, the university's contact tracing
will focus on Southern students and employees. Those who have a confirmed diagnosis
will be interviewed to establish with whom they have been in close contact in the
Southern community. Then, Southern's contact tracing team will notify individual students
and employees who may have been exposed and instruct them to quarantine. Southern
will not contact possible exposures outside of the Southern campus community.

- Masks: Ensure that everyone seated/standing is wearing a mask where six-feet of distance is unable to be maintained. Gaiter/buff masks are discouraged.
- Chairs: Chair placement must NOT be moved after they are placed in the tent per Fire Marshall mandate. Not even moving the chairs and then putting them back is allowed.
- Inclement Weather: Hulsey Wellness Center must be available for emergency evacuation circumstances. Any inclement weather that entails severe circumstances like 2 lightning strikes within a 9 mile radius will require event evacuation/cancellation.
- Security: The event leader must appoint one person to be the Campus Safety contact for their event. A radio will be assigned to this person to communicate/receive information from the dispatch regarding pertinent information such as severe weather.
- No Food: No food is allowed to be served or eaten in the tent
- Sanitization: Chairs will need to be sanitized before your event with an electrostatic cleaner. The electrostatic cleaner is located at the Hulsey Wellness Center, please see the personnel at the reception desk to request the cleaner in preparation for your event. The sanitizing process will take about 45 minutes in total so please give yourself enough time before your event begins. The electrostatic cleaner should be returned back to the Hulsey Wellness Center as soon as the chairs have been sanitized.
- Contact Tracing: Be able to identify where students, faculty, and staff were sitting during your event in order to provide the necessary information to the University Health Center for contact tracing purposes. This includes being able to provide names and contact details when necessary. Note that all the chairs in the tent will have a unique number so that participants will be able to record their seat number. These details should be kept by the booking leader.
- Restrooms: Restrooms will be available during typical Hulsey Wellness Center hours. If your event is reserved for a time when the Hulsey Wellness Center is not open, special arrangements will need to be made and staff provided based on availability. On Friday, Saturday, and Sunday nights, the wellness center in not open and therefore pre-arrangements for restroom access will need to be made.
- Invited Guest Speakers: Invited guest speakers will also need to participate in this assessment by filling out the symptom survey at southern.edu/guest no more than 12 hours prior to arriving on campus and stopping at a temperature check station.
- General Public: The tent should not be used to hold events for or that include the general public.
