1. Choose the Right Journal

1.1 Journal Selection Criteria

The right journal match is critical for both visibility and acceptance probability. Evaluate journals using these factors:

Target Audience Who reads this journal? Is it the right community for your findings?
Impact Factor / Indexing Web of Science, Scopus, PubMed, DOAJ? Align with your career goals.

Review Timeline Time from submission to first decision matters for time-sensitive work.
Open Access Options OA increases visibility but often requires an Article Processing Charge (APC).

STRATEGY: Create a shortlist of 2-3 journals ranked by fit and selectivity. Start with your target choice; have backups ready in case of rejection.

1.2 Avoid Predatory Journals

WARNING: Predatory journals charge publication fees without providing legitimate peer review or editorial services. Check for warning signs:
  • Promises of extremely rapid publication (days or weeks)
  • Spam email invitations to submit
  • Unclear or nonexistent editorial board
  • No clear indexing information or fake indexing claims
  • Website contains numerous grammatical errors
  • Applies for membership in legitimate directories without approval
VERIFY: Use Beall's List archives, Think. Check. Submit., or your institution's library to verify journal legitimacy.

2. Understand Journal Guidelines

Every journal publishes Author Guidelines (also called Instructions for Authors or Submission Guidelines). Treat these as your formatting bible.

2.1 Key Formatting Elements to Extract

  • Manuscript structure and required sections
  • Word count limits (abstract, main text, total)
  • Font type and size requirements
  • Line spacing and margin specifications
  • Reference style (APA, Vancouver, IEEE, Chicago, etc.)
  • Figure and table formatting requirements
  • File format preferences (Word, LaTeX, RTF)
  • Separate vs. combined manuscript requirements
  • Cover letter expectations
  • Data availability statement requirements
  • Disclosure and conflict of interest forms
DO NOT IGNORE: Formatting requirements are not optional. Non-compliant manuscripts are often returned unreviewed ("returned to author") before even being sent to reviewers.

3. Manuscript Structure (IMRaD)

The IMRaD format (Introduction, Methods, Results, and Discussion) is the standard structure for empirical research manuscripts across most scientific disciplines.

4. Writing the Introduction

The introduction establishes the research context and justifies why your study matters. Think of it as an inverted funnel: start broad and narrow to your specific contribution.

4.1 The CARS Model (Create a Research Space)

Hyland's CARS model has three moves for structuring the introduction:

WRITE THE INTRODUCTION LAST: You cannot effectively frame your study until you know exactly what you found and how it fits. Draft the introduction after completing the discussion.
GOOD: "While extensive research has examined X in context A, the role of X in context B remains poorly understood. Recent work by Smith et al. (2024) suggests a potential mechanism, but direct evidence is lacking. This study addresses this gap by..."
POOR: "Many researchers have studied X. This paper also studies X. We did a survey and found interesting results." (No gap, no rationale, no contribution stated)

5. Writing the Methods

The methods section must provide enough detail for another researcher to replicate your study exactly. This is the most scrutinized section during peer review.

5.1 Required Elements

  • Study design: Experimental, observational, qualitative, mixed-methods, cross-sectional, longitudinal, etc.
  • Participants / Subjects: Sampling method, inclusion/exclusion criteria, sample size justification, demographic characteristics
  • Setting: Where the study was conducted (laboratory, field, online, specific institutions)
  • Data collection instruments: Surveys, interviews, equipment, protocols; include validation/reliability information
  • Procedures: Step-by-step account of what was done, in what order, and under what conditions
  • Statistical analysis: Software used, tests applied, significance level, handling of missing data, assumptions checked
  • Ethical approvals: IRB/IACUC protocol numbers, consent process, data protection measures
CRITICAL: Under-reporting methods is the #1 reason reviewers request additional information. Be thorough, not brief. If a reviewer has to ask "how was X done?", you've failed this section.

5.2 Reporting Standards

6. Writing the Results

The results section presents your findings objectively — no interpretation, no speculation, no literature comparison. Let the data speak.

6.1 Writing Principles

  • Logical flow: Organize by research question or hypothesis, not by the order you ran analyses
  • Report all relevant results: Include null findings and negative results; selective reporting damages credibility
  • Statistical precision: Report exact p-values (not just p < 0.05), effect sizes, and confidence intervals
  • Refer to figures/tables: Guide readers to visual data but don't repeat every number in the text
  • Present tense: Use present tense for what the data/shows ("Figure 1 shows..." not "Figure 1 showed...")
  • Avoid interpretation: Save "why" for the discussion. The results say "what," not "so what."
GOOD: "Participants in the intervention group showed a statistically significant improvement in test scores (M = 82.3, SD = 7.1) compared to the control group (M = 71.5, SD = 8.4), t(98) = 5.67, p < .001, d = 1.42."
POOR: "The intervention clearly worked much better than the control, which confirms what others have found." (No statistics, no precision, premature interpretation)

7. Writing the Discussion

The discussion interprets your results, connects them to the broader literature, and articulates their significance. This is where you make the case for why your findings matter.

7.1 The Discussion Structure (Funnel Out)

AVOID: Overstating your claims. Do not claim causation from correlational data. Do not generalize beyond your sample. Use cautious language ("suggest," "indicate," "may") rather than definitive claims ("prove," "demonstrate beyond doubt").

8. The Abstract and Title

8.1 Title Guidelines

  • Be specific and informative — include key variables and population
  • Aim for 10-15 words (check journal limits)
  • Avoid jargon, abbreviations, and unnecessary words ("A Study of...")
  • Consider including the main finding if appropriate
  • Ensure it is discoverable via search engines and databases
GOOD: "The Impact of Microplastics on Coral Reef Resilience: A Meta-Analysis of 47 Field Studies"
POOR: "An Investigation into Marine Environmental Issues"

8.2 Abstract Guidelines

The abstract is often the only part of your paper anyone will read. Make every word count.

Type Structure
Structured Uses headings: Background, Methods, Results, Conclusion. Common in medical and health sciences journals.
Unstructured A single paragraph flowing through the paper's logic. Common in social sciences and humanities.
ABSTRACT CHECKLIST: Can a reader understand your research question, methods, key findings, and conclusion from the abstract alone? If any of these four elements is missing, revise.

9. References and Citations

9.1 Reference Management

Use a reference manager from day one. Manual formatting is error-prone and inefficient.

ETHICS WARNING: Citation manipulation (excessive self-citation, citation cartels, coercive citation by editors) is a serious academic misconduct issue. Cite fairly and honestly.

10. Figures and Tables

10.1 Figure Guidelines

  • Stand-alone readability: Each figure should be understandable with just its caption
  • Resolution: Minimum 300 DPI for photographs; 600-1200 DPI for line art
  • Font sizes: Labels and legends must be legible when reduced to column width
  • Color accessibility: Ensure figures are interpretable in grayscale (test with a colorblind simulator)
  • File formats: TIFF or PNG for photos; EPS, SVG, or PDF for line art (check journal preference)
  • Avoid redundancy: Don't present the same data in both a figure and a table

10.2 Table Guidelines

  • Simplicity: Use the minimum number of columns and rows needed
  • Horizontal rules only: Use top, bottom, and column-head rules (no vertical lines)
  • Consistent decimal places: Align data by significant figures or decimal places
  • Abbreviations: Define all abbreviations in the table footnote
  • Self-contained: Include enough context (units, sample sizes, statistical notes) in the table itself

11. Author Contribution and Ethics

11.1 Authorship Criteria

ICMJE (International Committee of Medical Journal Editors) criteria for authorship:

  • Substantial contributions to the conception or design of the work; or the acquisition, analysis, or interpretation of data
  • Drafting the work or revising it critically for important intellectual content
  • Final approval of the version to be published
  • Agreement to be accountable for all aspects of the work
GUEST AUTHORSHIP (GIFT/ghost authorship) is misconduct: Adding senior colleagues as honorary authors without contribution, or omitting contributors who deserve authorship. Both violate ethical standards.

13. Submission Process

13.1 The Submission Steps

  1. Create journal account — Ensure all corresponding author information is current
  2. Upload manuscript files — Follow journal's file structure (manuscript, figures, cover letter, etc.)
  3. Enter metadata — Title, abstract, keywords, authors, affiliations, funding info
  4. Suggest reviewers — Provide 3-6 names with emails and institutional affiliations (avoid conflicts of interest)
  5. Sign ethics declarations — Confirm originality, no concurrent submission, author agreement
  6. Submit and confirm — Review the submission summary before final confirmation
COVER LETTER TIPS: The cover letter is your pitch to the editor. State: (1) why the work is important, (2) why it fits this journal, (3) who the audience is, and (4) confirm originality and no conflict. Keep it to one page.

14. Responding to Reviewers

14.1 The Response Letter

Your response to reviewers is as important as the revised manuscript itself. It demonstrates professionalism and shows you took their feedback seriously.

14.3 Revision Timeline

TYPICAL TIMELINE: Major revisions usually allow 2-3 months. If you need more time, request an extension before the deadline — most editors are accommodating. Use the revision period to do additional analyses, strengthen the discussion, and get fresh eyes on the manuscript.
